Event Manager

The role involves overseeing and hands-on involvement of:

  • Identifying suitable venues, accommodation and catering suppliers; and negotiation of contracts.
  • Developing event specific organisational tools such as critical paths, timelines, contact lists, deliverables schedules.
  • Event logistics from venue management, event set up, registration of attendees.
  • Supervising set up and tear down of event.
  • Onsite event requirements e.g. name badges, onsite folders, registration lists.
  • Coordinate collateral production for printed materials, brochures, handouts, signage and other pieces.
  • Liaising with sales and marketing staff, crew and volunteers, VIP speakers and suppliers in relation to each event.
  • Arrange and manage all travel & accommodation arrangements for VIP speakers and staff.
  • Compile & manage event budgets.
  • Monitor and chase payments; purchase orders; ensuring all invoices are received, approved and sent to accounts for payment. Maintain file copy for budget reference.
  • Maintain supplies inventory by liaising with warehouse on checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; sourcing best price; verifying receipt of supplies.
  • Warehouse work - packing for events, stock count, etc.
  • Compile post event debrief reports, evaluations and file client comment forms.
  • Monitor/update and distribute event fact sheet, website details and calendar of events.

 
Candidate Requirements / Skills:

  • Relevant administrative experience in, or related to events management. Must have an understanding of the events industry.
  • Highly organised with strong time management and planning skills which includes structuring time in the lead up to events and follow through with the best action.
  • Seek knowledge of the event activities and schedule, prepare for set-up of event.
  • Ability to operate under time constraints and successfully meet production deadlines on a daily basis.
  • Ability to work independently, provide leadership, multi task/manage multiple projects simultaneously and achieve results on deadlines.
  • High level of time management and planning skills with the ability to react to changes in a fast-paced environment.
  • Must be comfortable with the personal development industry - these events are not standard corporate events.
  • Confident, Enthusiastic and Energetic – ability to make clients, speakers and volunteers feel welcomedand supported.
  • Team Player – ability to work as a member of the events team.
  • Good communicator with the ability to give clear directions.
  • Excellent written English skills and experience with drafting documents and able to operate at high levels of accuracy.
  • Experience in dealing with a wide range of people from high level speakers, suppliers, sponsors, volunteers, etc.
  • Must have a high level of customer service to deal with our client’s onsite at events.
  • Willingness to assist in all areas of event coordination.
  • Open to travel / opportunity to travel interstate.
  • Must be flexible with hours they work and comfortable with working weekends.
  • Understand that the events are not glamorous and the events come with stress, long hours and hard work. The majority of the events take place over weekends and hours of the event are outside of standard working hours. You must be available and willing to work at all the appointed events. You will not be paid overtime.
