Contracts Specialist / Coordinator

This role is responsible for the Contract Management function, which includes but not limited to contract review, negotiation and risk assessment to ensure all contracts (bids and purchase orders) are in acceptable terms and conditions to the company from risk minimization and legal implication perspective. The primary responsibility is to ensure all projects costing and billings are in order; this will include costing both to the customers, and from our vendors. It will also include the preparation of the works orders to our sub-contractors and specialist suppliers, as well as support and coordination of progress claim certifications and variation claims. 


  • Be part of team to oversee projects financials, from the start through to completion, ensuring that work is completed on time, within budget, and with proper billings.
  • Support contracts executive and project managers with sub-contract orders negotiations and monitor / review/approve sub-contractors’ claims, for actual works done and for variation claims, including monitoring of retention claims
  • Ensure timely review and approval/reconciliation of variation orders
  • Review, prepare and ensure correctness of outgoing project claims and invoices
  • Advise on procurement strategy and prepare subcontracts for projects by stating clearly the terms and conditions, and identifying areas for improvement in the company’s contracting processes.
  • Assist contracts executive with Contracts review and administration in accordance with the contract terms and conditions and financial procedures
  • Support negotiations with clients and consultants in terms of monthly variations, valuations, terms and conditions.
    Assist with commercial management of various work packages as directed
  • Provide recommendations and advice to Project Managers on variation claims from contractor(s) or service provider(s) as well as assist Project Managers in resolving any disputes with the contractor consistent with the contract terms and conditions.
  • Maintain contractual records and documentation such as receipt and control of all contract correspondence, customer contact information sheets, contractual changes, status reports and other documents for all projects.
  • Establish and monitor key risk indicators, as well as implement corrective action plans to mitigate risks in the running projects
  • Ensure contract close-out, extension or renewal
  • Introduce policies, procedures and control assessments in response to identified risks; Understand risk management strategies and programs; able to provide guidance on contract matters to projects staff


  • Diploma in Engineering, Quantity Surveying, Mathematics, Business Law or similar with at least 3 years of working experience in Quantity Surveying, Contract management, preferably in construction-related industry
  • Well organized and capable of meeting deadlines, analytical, self-motivated and proactive
  • Strong in written, communication, negotiation, creative problem solving and interpersonal skills
  • Knowledge of contracting concepts and contract acquisition law and regulations and high level of commercial & contractual awareness
  • Conversant in drafting, evaluating, negotiating and execution of agreements ranging from non-disclosure, sales/purchasing/ subcontracting, customer proposed terms and conditions
  • Team player, able to establish strong working relationships and work with wide range of people. Seasoned and focused team-player; able to multi-task in a fast-paced environment
  • Understand all aspects of the contracting process, and technical building requirements — plus good commercial sense is a must.
  • Proven ability to establish and maintain the project variation control system and managing negotiations in line with contract requirements as well as ensure compliance with the project variation control system and managing negotiations in line with contract requirements
  • Good understanding of the construction industry as well as experience working a similar role in a contracting environment
  • Work with project team on all contractual matters
  • Prepare contractual claims; 
  • Monitor the projects budgets and billings; contract administration.
  • Liaise closely with the sub-contractors and consultants on contractual and commercial matters.
